Privacy policy
Last updated: 24 October 2026
1. Who we are
Log Books is an independent replacement V5C log book checking and submission service operating in the UK. We are the data controller for the personal information described in this policy. You can contact us at support@vehiclelogbook.co.uk.
2. Information we collect
- Your name, email address and phone number.
- Vehicle details: registration number, VIN or chassis number, and make and model.
- The registered keeper's name and address, and the reason you need a replacement.
- Any options you select, such as fast track processing.
- Payment confirmation details from our payment provider. We never receive or store your full card number.
- Basic technical information such as your IP address and browser type, used for security and to keep the service working.
3. Why we use it and our lawful basis
- To perform our contract with you — checking your application, submitting it to the DVLA, taking payment and sending your confirmation.
- Legitimate interests — responding to enquiries, preventing fraud, keeping records and improving the service.
- Legal obligation — keeping accounting and tax records, and responding to lawful requests from regulators.
4. Who we share it with
- The DVLA, to process your replacement log book.
- Our payment provider, to take and confirm your payment securely.
- Our hosting, database and email providers, who process data on our behalf.
- Professional advisers or authorities, where we are legally required to do so.
We do not sell your personal information or use it for third-party marketing.
5. How long we keep it
We keep application and order records for seven years, to meet accounting requirements and to support you with any follow-up questions. After that, records are securely deleted. Enquiries that do not lead to an order are normally deleted within 24 months.
6. Security
Your data is stored on access-controlled, encrypted infrastructure. Order confirmations are held in private storage and are only accessible to authorised staff and through time-limited secure links.
7. Your rights
Under UK data protection law you have the right to access your data, to have inaccurate data corrected, to request erasure, to restrict or object to processing, and to data portability. To exercise any of these rights, email support@vehiclelogbook.co.uk. We will respond within one month.
If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office at ico.org.uk.
9. Changes and related policies
We may update this policy from time to time; the date at the top shows the latest version. See also our terms and conditions and refund policy.
